STEPHENS COUNTY FAIR & EXPO
CENTER GUIDELINES


DEPOSIT: A deposit and contract is required to book all events. The deposit is 50% of the 1st day's rental, which is a non-refundable deposit that will be applied to the total amount due, and for multiple dates, it will be applied to the last event.

ANY VIOLATION OF THE FOLLOWING RULES WILL RESULT IN THE IMMEDIATE EXPULSION OF PARTICIPANTS WITHOUT REFUND.

No Smoking
and No Tobacco are allowed in the buildings or the arena.

No Alcoholic
or Non-alcoholic Beverages, i.e., no beer, no wine coolers, etc. are allowed on the premises of the Stephens County Fair & Expo Center.

Lessee shall be responsible for all damages to the property with the exception of usual wear and tear occasioned by reasonable or careful use of the facilities. Damages will be estimated by the Lessor and will cover the cost of repair or replacement.

All fees must paid to the Stephens County Fair & Expo Center at least three (3) days prior to the event.


Although the Stephens County Fair & Expo Center retains all concession rights for the sale of food and drinks at all events; the Stephens County Fair & Expo Center does not provide concessions for events.  A list of potential concession vendors is available. Lessee may request the right to run a food and drink concession stand.

Events that provide a concession will use Coca-Cola
beverages for their concession to include, but not limited to, bottled soft drink, bottled water, and bottled sports drinks. All billing will be done through the Fair & Expo office;  cost is $1.25 per bottle.  Please sell your products for at least $2 per bottle to the public to maintain a consistant price.  No donated products allowed.

Rental time: Exhibition building rental time is from 12:00am to 11:30pm.  The Conference Center will be locked at midnight and the exterior gates will be locked at 12:10am..

Ticketed Events
: All ticketed events must have a policy in place for entry and exit. According to state law, all county buildings are non-smoking facilities, and persons must leave the buildings to smoke. Any patrons entering an event should be reminded to keep their ticket stub for use upon exiting and re-entering the event. The Stephens County Fair & Expo Center suggests that patrons exiting be given a hand stamp and required to show their ticket stub and hand stamp to re-enter the event.
Building Clean-up: Lessee shall cover tables for all dinner meetings and shall remove residue and covering upon completion. Tables must be wiped clean. A cleaning deposit of $200 for the barns/arenas and a $100 for the Conference Center is due prior to your event and will be returned after your event, pending no excessive trash and excessive cleaning is needed.

Kitchen (Harvest) usages
: An assortment of coffee pots and microwaves are available. The kitchen sinks, stove, refrigerators, equipment and utensils must be cleaned and returned to the proper place after rental.

Insurance
: Lessee is responsible for their own liability insurance.

Caretaker
: The Caretaker lives on the Fairgrounds. No other security is provided but may be required for some events.

Twenty-five dollars ($25)
will be charged for suspending anything from the ceiling. Masking tape may be used on the walls; no other form of attachment may be used.

Caretaker and manager or their designated official reserves the right to enter or attend any event.

Marquee: Any group paying $200 in rental may use the sign free of charge. Others will be charged $25.
